Job Summary: Provides clerical support for the Johnson Center.
Primary Duties & Global Responsibilities:
(Must be able to perform these duties; usually consist of more than 5% of your job.)

Transcribes and generates a variety of materials such as reports, memorandums, correspondence, and forms using computer systems.

Proofreads and corrects materials; edits grammatical errors.

Makes and confirms travel arrangements such as booking flights and hotel accommodations for supervisor.

Maintains calendar and schedule for supervisor, including booking meeting rooms and making parking arrangements.

Performs receptionist duties such as receiving visitors, answering the department telephone and taking messages. Also disseminates information and resources available on website.

Coordinates internal special events.

Makes arrangements for off-site meetings.

Maintains filing and/or database and recordkeeping systems on paper and/or computer.

Receives, opens, routes mail and may compose responses to standard inquiries.

Prepares IDS, travel vouchers, and other forms for the department.

Prepares deposit requisitions for assigned projects such as the Agile Philanthropy publication.

Maintains an inventory of publications and reports.

Maintains records by performing duties such as monitoring, tracking expenditures, and preparing statements for distribution regarding the status of records, lists, or accounts.

Inventories and orders office supplies and/or merchandise.

Other related duties as assigned.
Secondary Duties & Responsibilities:
(Related duties in addition to primary duties and responsibilities, usually less than 5%.)

Takes, transcribes and distributes departmental meeting minutes.

Composes a variety of documents.

Maintains departments library, bulletin boards, assists in website maintenance, and equipment inventory.
Minimum Required Qualifications:
-
High school graduate.
-
Minimum of two years of related work experience and/or relevant training.

Ability to work under pressure and meet deadlines.
-
Ability to maintain positive interpersonal relationships.

Ability to operate office equipment.
-
Ability to provide quality customer service.
-
Ability to maintain satisfactory work performance and attendance records.
-
Possess strong verbal and written communication skills.

Type 45 wpm accurately; spelling competency (minimum 80% accuracy).

Strong computer skills to create documents and experience with various computer software applications such as Word, Excel, HTML, to create documents and maintain websites.

Ability to learn from mistakes and ability to master new tasks and new materials.
