Job Summary:

Coordinates a variety of duties for a department/office/division in which discretion and/or judgment concerning the procedures to use or policies to follow is required.

 

Primary Duties & Global Responsibilities:

·         Receives information in various forms and determines the appropriate method of processing and routing.

·         Provides support to the Dean and Associate Dean by assisting with academic and service programs within the College.

·         Manages/maintains supervisor's calendar.

·         Ensures smooth coordination/completion of high-quality clerical work for the department/office, which includes serving as liaison between the Dean’s office and the university.

·         Assumes responsibility for creating, maintaining and updating files and record keeping systems; paper and/or computerized.

·         Prepares for and schedules major meetings, conferences, exhibits, events, travel, or other related duties for both internal and external contacts.

·         Coordinates, publicizes, and provides support for special events and functions.

·         Recruits and coordinates faculty and staff to represent the college at university events.

·         Compiles and formats statistical data and reports.

·         Disseminates information that may require explanation and interpretation of established university and departmental policies and procedures, and directs individuals to sources of additional information.

·         Oversees purchasing card and reconciles statements and travel and expense forms.

·         Generates reports, memorandums, correspondence, presentation materials spreadsheets and graphics, and other similar materials using computer systems.

·         Creates and maintains database systems.

·         Oversees responsibility for ordering office supplies.

·         Processes travel vouchers, requisitions, IDCs, l9s and other university forms.

·         Hires, trains, and supervises student employees.

·         Processes student employee timecards and maintains appropriate records to manage the student wage budget.

·         Assists with clerical duties associated with staff searches.

·         Assists with processing SWS oversees the SWS budget, and coordinates communication among the SWS Director, faculty, and the University Writing Skills Committee.

·         Assists with marketing and promoting Brooks College, including managing the website and social media platforms, and sending email to internal and external audiences.

·         Other duties as assigned.

 

Preferred Qualifications:

·         Minimum of three years of related experience.

·         Some college course work. 

·         Higher education experience. 

·         Supervisory experience.  

·         Web design or content management system experience.

 

Required Qualifications:

·         High school graduate.

·         Strong desire to learn and grow in position.

·         Demonstrated experience to successfully work under pressure and meet deadlines.

·         Effective time management and multi-tasking skills.

·         Demonstrated experience to successfully maintain positive interpersonal relationships and foster diversity in the workplace.

·         Demonstrated experience to successfully operate office equipment.

·         Demonstrated experience to successfully provide quality customer service.

·         Demonstrated experience to successfully maintain satisfactory work performance and attendance records.

·         Type 50 wpm accurately; spelling competency (minimum 80% accuracy).

·         Experience and strong familiarity with a variety of computer software applications.

·         Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.

·         Demonstrated willingness to understand diversity in the workplace.

·         Strong verbal communication skills.

·         Excellent writing and editing skills.

 

Supervision received:  Receives supervision and work assignments from designated supervisor although other staff members in the unit may provide work direction.

 

Supervision exercised:  May supervise students.
