Title: Disability Services Assistant

Primary Duties & Responsibilities:

  • Provide administrative and confidential clerical support for the office of Disability support Services including answering telephones, managing calendars and correspondence, maintaining electronic/paper record keeping systems and materials, tracking data concerning eligibility of program participants, and coordination and implementation of projects and events.  This also includes clerical support for the coordination of services for faculty, staff and guests of the university.
  • Interface with the Vice Presidents office of Inclusion and Equity and division.
  • Receive information in various forms and determine the appropriate method of processing.
  • Database Management-Compile and analyze data, prepare standard and requested reports, generate correspondence, presentation materials, spreadsheets, graphics, meeting materials and other similar items using various computer software.  This includes database maintenance and report generation of system for assessment and self study purposes.
  • Disseminate information that requires knowledge and specialized information related to disability issues and needs of people with disabilities on campus and explanation and interpretation of established university and unit policies and procedures, and direct individuals to sources of additional information.
  • Communicate effectively with other university offices (i.e. Human Resources, Facilities Services) and outside vendors to assist participants in obtaining appropriate accommodations, i.e. sign language interpreters, campus facilities.
  • Provide information to students, prospective students, outside agencies, schools and visitors.
  • Maintain and analyze set of complex budgetary records (Banner) by performing book keeping related the status of accounts and making recommendations as to projected budgets.
  • Coordinate Director of DSS calendar/schedule/meetings.
  • Monitor Groupwise calendars for DSS advisors to prepare for participant appointments.
  • Assist DSS advising staff with administrative problems or concerns.
  • Coordinate and schedule drivers and riders for the handicap van as well as maintain service records for the vehicle.
  • Coordinate and interface with publishers and vendors outside of campus for scanned textbook services.
  • Prepare and disseminate participants memos of participation, which are subsequently distributed by student to their faculty.
  • Prepare and distribute yearly evaluation.
  • Supervise/train student employees (10-20 students).

 Minimum Qualifications:

  • High school graduate.
  • Minimum of four years related experience.  Related college coursework may be considered in lieu of some of the experience requirement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain positive interpersonal relationships.
  • Demonstrated experience to successfully operate office equipment.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience in a supervisory capacity.
  • Possess strong verbal and written communication skills
  • Demonstrated experience to successfully user various computer software applications (Word, Access, Excel, Groupwise, Banner).
  • Demonstrated experience to successfully work independently, organize own work, and coordinate work activities of others.
  • Demonstrated experience to successfully handle differing situations and problems in the work routine by exercising judgment.

 Desired Qualifications:

  • Bachelors degree.
  • Higher education experience.
  • Supervisory experience.
  • Knowledge of Americans with Disabilities Act.
