Title: Office Coordinator - Graduate Studies & Grants Admn.
Classification: C3 Department: Graduate Studies & Grants Administration
u Receives information in various forms and determines the appropriate method of processing.u Responsible for the coordination/completion and the quality of the clerical work for the Office of Grants Development & Administration which includes answering telephones, providing information, or routing calls to appropriate person; open and route incoming mail and prepare outgoing mail, including bulk mailings; typing memos and other correspondence; maintain office filing systemu Acts as liaison between the Director of Grants Development & Administration,u Deans, Unit Heads/Chairs, faculty, staff, outside agencies/organizations, and othersu Responsible for creating, maintaining and updating all grants files and other official records, record keeping systems; paper and/or electronicu Compiles and logically formats statistical data and reportsu Disseminates information that may require explanation and interpretation of established university and departmental policies and procedures, and directs individuals to sources of additional informationu Monitors departmental BANNER accounts, reviews budget reports and reconciles the reports with the department/offices recordsu Generates reports, memorandums, correspondence, presentation materials spreadsheets and graphics, and other similar materials using computer systemsu Create and maintain database systemsu Maintains and updates the Grants Development and Administration websiteu Performs and coordinates scheduling tasks and support services associated with preparing and making arrangements for major meetings, conferences, exhibits, travel or other related duties for both internal and external contactsu Responsible for ordering office supplies; process travel vouchers, requisitions, IDCs, I9s and various university forms.u Supervise student employees and may act as a lead worker to other COTsu Process student employee timecards and maintain appropriate records monitoring available dollars.u Manage/maintain Director of Grants Development & Administration schedule
u High school graduateu Minimum of three years of related experience and/or relevant trainingu Demonstrated experience to successfully work under pressure and meet deadlinesu Demonstrated experience to successfully maintain positive interpersonal relationships.u Demonstrated experience to successfully operate office equipmentu Demonstrated experience to successfully provide quality customer serviceu Demonstrated experience to successfully maintain satisfactory work performance and attendance records.u Possess strong verbal and written communication skillsu Type 50 wpm accurately; spelling competency (minimum 80% accuracy).u Demonstrated experience to successfully use a variety of computer software applications (Excel, Adobe, PowerPoint, Word, etc).u Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.u Excellent grammar and proofreading skills.
u Some college course work.u Higher education experience.u Supervisory experience.u Knowledge of and experience with sponsored agreements or contracts.
