Job Summary:

Acts as a general assistant to the Executive Director, performing many non-routine functions, which substantially contribute to the overall units objectives

  •  Assist Executive Director in carrying out the units objectives
  • Performs administrative work of a confidential nature for the Executive Director
  • Complies and logically formats statistical data
  • Responsible for scheduling and managing calendar and appointments
  • Coordinates various events
  • Schedules and manages calendar
  • Assists faculty, staff, students and community members with administrative problems or concerns
  • Maintains and analyzes set of complex budgetary records by performing bookkeeping related duties such as reconciling, monitoring, making and tracking expenditures, preparing budget statements regarding the status of accounts, making recommendations as to projected budgets
  • Acts with a high degree of independence as liaison with inside and outside contacts and in pre-meeting materials, minutes, programs, updates and other support functions
  • Disseminates information that may require explanation of established university or departmental policies and procedures, and directs individuals to sources for additional information
  • Coordinate employment search process
  • Edits correspondence, reports and materials
  • Conducts, on a recurring basis, self-initiated or Executive Director initiated projects
  • Develops and monitors systems used to maintain departmental resources
  • Supervises student employees
  • Other related duties as assigned

 Minimum:

  • High School Graduate
  • Minimum of four years of experience in a position which required demonstration of administrative and organizational skills
  • Demonstrated experience to successfully work under pressure and meet deadlines
  • Demonstrated experience to successfully maintain positive interpersonal relationships
  • Demonstrated experience to successfully perform clerical and secretarial duties such as typing, word processing, spelling accuracy etc.
  • Demonstrated experience to successfully provide quality customer service
  • Demonstrated experience to successfully coordinate large projects
  • Demonstrated experience to successfully work independently, organize own work and coordinate activities of others.
  • Demonstrated experience to successfully handle multiple demands
  • Supervisory capacity
  • Demonstrated ability to handle differing situation sand problems in the work place by exercising judgment.
