Job summary

A primary customer service contact at the Steelcase Library who shares responsibility for delivering a wide array of essential services. Because the Steelcase Library is a branch, this position requires a broad base of knowledge and a level of functional independence.

Primary duties (Scope of Work)

I. Overall Responsibilities

  • Interprets and enforces wide-range of library procedures and policies; communicates those policies with clarity and tact
  • Responds quickly to problems reported by faculty and staff by ascertaining relevant information and taking appropriate action
  • Helps ensure the safest possible library environment and the security of library resources and equipment
  • Trains and supervises student workers during shift

II. Circulation Responsibilities

  • Primary customer service contact, referring patrons to people and resources throughout the library system and generally assisting patrons in using library.
  • Assesses patron questions and needs, answers basic reference questions, and refers complex inquiries to reference librarians
  • Directs, refers, and handles circulation transactions with students, faculty, staff, administrators and members of the off-campus community; including the coordination of the branchs participation in intra-library resource delivery system
  • Coaches student employees in communicating with clarity and tact and models appropriate behavior
  • Assists patrons with circulating laptops and helps with basic computer applications
  • Handles student, faculty and staff library accounts, reconciles cash drawer, and exercises discretion in reconciliation of patron account discrepancies
  • Identifies problems and assists troubleshooting of the librarys automated retrieval system
  • Configures automated retrieval system carriers for placement of new books
  • Retrieves items in librarys off site storage facility; ensures materials are in proper order
  • Opens the library, reconciling previous days receipts, readying approximately 30 computers and various other technical equipment for patrons
  • Consults with Circulation Coordinator in Allendale

III. Document Delivery Responsibilities

  • Employs a suite of software to provide rapid electronic desktop delivery to University students, faculty, and staff by manipulating, digitizing, and reformatting library materials
  • Delivers digitized or physical items to the Document Delivery Coordinator for loans to other institutions
  • Consults with Document Delivery Coordinator in Allendale

IV. Acquisition/Cataloging Responsibilities

  • Receives and replaces updates for librarys government document, legal and tax collections, updates library catalog records to reflect changes
  • Receives and prepares print periodicals for the reading room
  • Receives and prepares microfilm collection, including withdrawal of duplicate print periodicals when appropriate
  • Prepares materials for bindery
  • Updates the online catalog to reflect current holdings and location changes
  • Responsible for quality control of online catalog entries for books, legal and tax collections, and periodicals at the Steelcase Library
  • Consults with Acquisitions/Cataloging Manager in Allendale

V. Course Reserve Responsibilities

  • Prepares reserve materials for electronic access, using a suite of software and hardware
  • Locates, obtains, and makes available resources requested by faculty by searching librarys catalog, online databases, or the collections of other libraries
  • Creates bibliographic records in libraries online catalog allowing students to locate and access course reserve resources
  • Assists faculty and staff with use of electronic reserves
  • Responds quickly to course reserve problems reported by faculty and staff by ascertaining relevant information and taking appropriate action
  • Consults with Course Reserve Coordinator in Allendale

  • Ability to maintain positive interpersonal relationships with diverse populations

  • Ability to use discretion and judgment in interpreting polices and applying procedures
  • Ability to communicate clearly and tactfully
  • Ability to solve problems quickly and independently, occasionally with limited backup resources
  • Minimum of 3 years related work experience and/or relevant training
  • Demonstrated competence with computer applications
  • High school graduate

Desired Qualifications

  • Bachelors degree preferred
  • Familiarity with an integrated library system (Voyager preferred.)

Supervision Received

Supervised by a designated manager, but is expected to work independently and apply appropriate policies and procedures within the assigned area of responsibility. At times may have little or no supervision, and may have to make crucial decisions regarding patron safety and the librarys integrity.

Supervision Exercised

Coordinate the work of student employees within the department. May have limited supervision of departmental projects.
