JOB TITLE:  Library Specialist, Document Delivery


Job summary

Position holder is libraries link to an international confederation of over 10,000 libraries connected through shared databases to facilitate the exchange of library materials worldwide through interlibrary loan. In addition, this position coordinates a system that provides electronic delivery of GVSU resources to the desktops of University students, faculty and staff.

Primary duties (Scope of Work)

  • Primary authority for Universitys interlibrary loan program using a complex set of international rules, protocols, and financial practices
  • Employs a suite of software to provide rapid electronic desktop delivery to University students, faculty, and staff by manipulating, digitizing, and reformatting library materials
  • Receives, verifies and fills GVSU patron requests for loan of needed materials not owned by the University
  • Receives, verifies and fills loan requests from other institutions for items owned by GVSU
  • Maintains libraries cooperative relationship with the National Network of Libraries of Medicine
  • Advises and consults with faculty and students regarding bibliographical information and identification; refers faculty and students to proper librarian for further assistance when needed
  • Ensures that every transaction complies with copyright law through the use and management of specialized software
  • Manages distribution and retrieval of borrowed and loaned resources; handles student, faculty and staff interlibrary loan accounts, and exercises discretion in reconciliation of patron account discrepancies
  • Performs queries in GVSU Banner Financial system to track and record charges and payments
  • Coordinates work of document delivery in all GVSU locations
  • Oversees interlibrary loans and document delivery to scientists at the Van Andel Institute
  • Consults with Director of User Services to establish and modify Libraries document delivery and interlibrary loan policies
  • Hires, trains, and supervises student employees and coordinates their work

Minimum Required Qualifications

  • Ability to prioritize multiple demands in a fast-paced work environment while delivering exemplary customer service
  • Ability to use discretion and judgment in interpreting polices and applying procedures
  • Ability to communicate clearly and tactfully
  • Ability to function as lead expert in two critical service areas of the library
  • Possess strong verbal and written communication skills
  • Possess strong skills with computer interfaces
  • Minimum of 4 years related work experience and/or relevant training
  • High school graduate

Desired Qualifications

  • Bachelors degree preferred
  • Experience with an integrated library system (Voyager preferred)

Supervision Received

Works autonomously with minimal supervision by Director of User Services. Usually interprets library and University policies and guidelines with little or no assistance.

Supervision Exercised

Coordinates work of COT staff engaged in document delivery at all library locations, and advises them on matters of policy and procedure. Hires, trains, and supervises student workers.
