Job Summary:  Provides clerical support and computer services for radio and television membership activities and development events for WGVU.

Primary Duties & Global Responsibilities:

(Must be able to perform these duties; usually consist of more than 5% of your job.)

Development and Events Area:

  • Responsible for member questions/solutions through individual correspondence with members or phone calls.
  • Responsible for all WGVU mailings, including WGVU Clubhouse, Showplace, WGVU Membercard and special events.
  • Responsible for the daily office activities (radio and television) including special events and membership.
  • Recommends and/or implements changes in office procedures.
  • Maintains and devises filing and record keeping systems; paper or computerized.
  • Answers inquiries requiring explanation and interpretation of station membership policies and procedures.
  • Schedules and coordinates the work of student employees in development and the receptionist area.
  • Researches, orders and maintains inventory of office supplies for membership drives, mailings and receptionist area.
  • Compile and process incoming information affecting membership and all other TV and Radio special events, implementing economical and time-saving methods.
  • Act as first contact to answer inquiries about the events from station and university departments or outside agencies.
  • Provide in-house office support (or act as research assistant) to development department.
  • Coordinates the processing of data, records and other similar materials.
  • Makes recommendations for action to be taken based on analysis of information.
  • Schedules events and other similar activities, which require extensive coordination with other station departments and outside organizations.
  • Implements and coordinates support activities (print and promotion) associated with all TV and Radio special events.
  • Supervise student employees.
  • Other related duties as assigned.

 Database Area:

  • Responsible for Millennium database maintenance and updates for multiple program database systems, including WGVU Membercard and Showplace.
  • Responsible for processing data entry information for various database systems, including WGVU Clubhouse. WGVU Membercard and Showplace.
  • Processes and reports daily financial contributions, including reconciling deposits to Accounting Office.
  • Receives information in various forms and determines the appropriate method of processing.
  • Responsible for maintaining and updating files and record keeping systems; paper and/or computerized.
  • Generates reports and coordinates the work of student employees.
  • Conducts special projects and assignments as directed.
  • Works closely with the lead COT.
  • Other related duties as assigned.

 Minimum Required Qualifications:

  • High school graduate.
  • Minimum of three years related experience and/or relevant training.
  • Demonstrated experience to successfully work with database systems.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain positive interpersonal relationships.
  • Demonstrated experience to successfully operate office equipment.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Possess strong verbal and written communications skills.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Type 50 wpm accurately; spelling competency (minimum 80% accuracy).
  • Demonstrated experience to successfully use variety of computer software applications.
  • Willingness to work nights, weekends, some holidays and overtime hours.

 Desired Qualifications:  (Preferred in addition to required qualifications.)

  • Some college course work.
  • Higher education experience.
  • Supervisory experience.
  • Experience working in a television/radio environment.
  • Familiarity with a not-for-profit fundraising environment.

 Supervision Received:

Receives general instructions from a designated supervisor, but is generally expected to work independently.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other COT staff members within the department/unit/division.  May participate in personnel decisions, such as hiring, terminating, disciplining and evaluating of COTs, but is not the decision maker.
