Job Summary:

Provide accounting support for Information Technology (IT) Department and maintain accurate accounting records for IT institutional budget accounts.  Coordinate and perform clerical duties to maintain efficient operation of the Department of Information Technology.

Primary Duties & Global Responsibilities:

  • Provides support to the Information Technology Office, including answering of phones, scheduling and managing of calendars and correspondence, coordination and implementation of projects, programs, specific events and office events for the Director of IT, and all IT staff.
  • Maintains and analyzes set of complex budgetary records by performing bookkeeping related duties such as reconciling, monitoring, making and tracking expenditures, preparing statements regarding the status of accounts.
  • Makes recommendations for IT budgets and alerts the Director to areas of concern.
  • Responsible for on-line requisitioning for Information Technology Department.  Granted full (1) signature authority to process on-line POs for Information Technology Department.
  • Understands and interprets data from the Banner mainframe FRS system.
  • Reconciles budget reports with internal records.  Investigates discrepancies and makes appropriate adjustments.
  • Communicates with vendors to reconcile differences.
  • Assist Director with preparation of projected budgets for yearly IT budget presentation.
  • Runs weekly reports on expenditures for Director.
  • Coordinate and schedule dates for Computing and Technology Support Seminars with various instructors, reserves rooms, enter seminar data in Content Management Web registration system, monitor seminar registrations, and send weekly seminar reminders.
  • Carries out daily job responsibilities and works independently without supervision.
  • Respond to questions/complaints and resolves problems which may require knowledge and interpretation of university and Information Technology policies and procedures.
  • Back-up support for IT  Technology Procurement Coordinator position.
  • Provide support to Technology Supply Coordinator by checking in equipment, verifying packaging slips, recording serial numbers, entering equipment into inventory system, enter work orders when order complete and verifying IDCs.
  • Coordinate student employees for IT Department in Milly Student Employment System.  Post new positions, enter new hires, and track status of current student hires for correct wage classifications.
  • Performs duties characteristic of lower-level clerical office classifications as required.
  • Other related duties as assigned.

Minimum Required Qualifications:

  • High school graduate.
  • Minimum of four years related experience.
  • Related college course work may be considered in Lieu of some of the experience requirement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain positive interpersonal relationships.
  • Demonstrated experience to successfully operate office equipment.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience in a supervisory capacity.
  • Demonstrated experience to successfully use various computer software applications.
  • Thorough knowledge of spreadsheet applications is essential.
  • Demonstrated experience to successfully perform mathematical calculations with speed and accuracy.

Desired Qualifications:

  • Post high school accounting training.
  • Bachelors degree in accounting.
  • Higher education work experience.

Supervision Received:

Supervised by a designated supervisor, but is expected to work independently and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other COT staff members within the department/unit/division.  May participate in personnel decisions such as hiring, terminating, disciplining and evaluating of COTs, but is not the decision maker.
