UAS / ECS Chair and Vice-Chair Responsibilities

Agreed to by the Office of the Provost and Faculty Governance leadership, March 2019.

UAS/ECS Chair Responsibilities

Ongoing

  • Chairing ECS and UAS meetings
  • Create ECS agendas
  • Create UAS agendas in consultation with ECS
  • Work with Senate Assistant/Vice Chair completing meeting minutes
  • Attend monthly meetings with Provost, Senate Vice Chair, and additional member Provost Office to discuss Senate recommendations, memos, upcoming ECS/UAS calendar, additions/modifications in Faculty Handbook, ask questions and get updates from the Provost office*
  • Member of University Personnel Review Committee (UPRC)
  • Respond to curriculum and program development questions (with Chair of UCC and chairs of FSBC, UCC, GEC, and GC)
  • Convene and chair New Programs/Academic Units Council as needed (or delegate UAS Vice Chair to attend) and report out actions in the online system and by Memo to ECS members and other interested parties
  • Attend Board of Trustees meetings*
  • Member University Strategic Positioning Committee
  • Act as liaison to six standing committees (Senate Vice Chair serves as liaison for the other six) and attend a minimum of one meeting of these committees each fall and winter semester
  • Meet with the Chair of Student Senate once per month during the academic year
  • Communicate to faculty members via UAS Chair email on UAS business as needed, including response to queries on faculty matters*
  • Respond to queries on faculty personnel process (in coordination with Provost Office representative and university counsel)
  • Serve on Health Care Benefits Committee (or delegate FSBC Chair/UAS Vice Chair to attend)*
  • Review proposed revisions to College/University Libraries Bylaws to determine if in compliance with Faculty Handbook and place proposed revisions on ECS agenda where necessary*

Spring/Summer Term

  • Plan ECS retreat(s) (May and August)
  • Meet with Senate Vice Chair and standing committee chairs to work on drafts of standing committee charges
  • Review and approve Faculty Handbook changes capturing revisions prior academic year
  • Work with Senate Assistant to create schedule and reserve rooms for:
    • ECS/UAS meetings over academic year
    • Monthly meeting dates for Standing Committee Chairs a, ECS Chair and Provost for new Program/Academic Unit prospecti /proposals and post to Web site as part of faculty governance schedules/information
  • Meet with Senate Vice Chair and the Deans as requested to discuss areas of faculty collaboration
  • Respond to any faculty governance issues that arise over the summer months

Fall Term

  • Convocation address
  • Participate in commencement ceremonies as Marshall
  • Plan ECS Winter Retreat, if held
  • New Faculty Orientation presentation on faculty governance
  • Participate in unit head and tenure track personnel training sessions
  • Place on agenda first meeting UAS decision whether to ratify use of By Laws/Use of Robert’s Rules to conduct meetings for the academic year
  • Attend first Student Senate meeting
  • Ensure receipt of reports from College Personnel Committees regarding College/Library vote as to Dean’s presence at College/Library Personnel Committee meetings on personnel decisions

Winter Term

  • Ensure receipt of end of year reports on academic year’s personnel actions from CPC Chairs (BOT 4.2.8) and review
  • Obtain and review annual standing committee chair reports 
  • Prepare and submit Annual ECS/UAS Report (newsletter) to faculty members
  • Report ECS/UAS accomplishments for the academic year at April Board of Trustees meeting
  • Participate as Marshall in commencement ceremonies
  • Support leadership transitions for Chair/Vice Chair
  • Participate as Marshall in Faculty Awards Convocation
  • Oversee ECS/UAS election process with support of the Senate Assistant
  • Adjust UAS Senate representation for added faculty position (Senate Assistant prepares)
  • Provide input into Senate Assistant’s Annual Evaluation

UAS/ECS Vice-Chair responsibilities

Ongoing

  • Meet every week with the Senate Chair to discuss agenda items and all Senate business that needs Senate leadership guidance
    • Review UAS agendas with Senate Chair in consultation with ECS
  • Convene and chair New Programs/Academic Units Council as the Senate Chair designee coordinate four NPC meetings per semester (and write a memo summarizing the decision of the voting members of the NPC and send the memo to the Chair)
  • Act as liaison to six standing committees (Senate Chair serves as liaison for the other six) and attend a minimum of one meeting of these committees each fall and winter semester
  • Attend monthly meetings with Provost, Senate Chair, and additional member Provost Office to discuss Senate recommendations, memos, upcoming ECS/UAS calendar, additions/modifications in Faculty Handbook, ask questions and get updates from the Provost office*
  • Work with Senate Assistant/Chair completing meeting minutes
  • Serve on Health Care Benefits Committee (as Senate Chair designee)*
  • Serve as needed by the Senate Chair*
  • Serve as Mace Bearer at Commencements and Convocations
  • Work with Office of the Provost to manage the charges to standing committees in the SHORE system*
  • Serve as member of the Public Safety Liaison Committee (PSLC)*

  • Serve as Mace Bearer at Convocation      
  • Participate in commencement ceremonies as Mace Bearer
  • Plan ECS Winter Retreat in consultation with the Senate Chair, if held

Winter Term

  • Participate as Mace Bearer in commencement ceremonies
  • Support leadership transitions for Chair/Vice Chair
  • Provide input into Senate Assistant’s Annual Evaluation
