Event Photo Coverage Request Form
Photo requests must be made 2 weeks prior to the event date. If your photo need takes place within 2 weeks of the requested date, it is considered urgent and you must call University Communications ((616) 331-2221) to speak to a photographer and confirm availability.

Tips to optimize your event coverage
- When completing the request form, please be specific about what the photos will be used for. Additional direction helps the photographer to be certain that they are providing images that will meet your needs.
- If you have a photographer preference, please note that in the request.
- Requesting photography coverage during meal times is not recommended.
- Typical image turnaround is 3-14 days. A request to have photos sooner than that is considered urgent and will incur extra fees.
Costs
The following assignments are photographed free of charge to support the goals of University Communications and the University:
- Photographs for use in University Communications print and web publications.
- Photographs to accompany news releases.
- Portraits that are required for news related stories.
The following requests are considered billable requests:
- Photographic coverage for departmental print and web materials.
- Portraits for individuals or department needs.
- Social events; for example receptions, dinners, retirement & going away parties, awards banquets, and conferences.
- Photographic prints and enlargements.
Photography Rates
- Freelance Charges Per Hour: Varied, typically $150 per hour
- University Communications Photo Team maintains a list of contracted, local freelance photographers. If a photography request is received that cannot be covered by a staff photographer, you will be connected with a freelance photographer that is available to cover your request.
