Job Summary

Approximately 50% of the position is the coordination and accounting of our collection agencies including referring delinquent accounts, processing payment files and posting to student accounts. The other half of the position provides clerical support in the Collections Office and on the Billing Hotline, specializing in LDAA (Last Day of Academic Activity) collections.

Essential Functions:

Characteristic Duties & Responsibilities – Coordination of Collection Agencies:

  • Authorizes and processes the referral of accounts to collection agencies.
  • Works with and monitors agencies to insure proper collection.
  • Processes payments received from the collection agencies.
  • Report payments received to the collection agencies.
  • Updates interest and addresses and processes closeouts.
  • Monitors effectiveness of collection agencies.
  • Uses judgment to determine if the payment is for a write off or may be applied to the student’s account.

 

Characteristic Duties & Responsibilities – LDAA Collections:

  • Contacts individuals with delinquent LDAA accounts via telephone, letters, the internet and other necessary, appropriate means.
  • Meets with LDAA students to counsel on future expectations.
  • Monitors LDAA students for compliance with expectations.
  • Analyze and report statistical information regarding LDAA calculations.
  • Explains the account status, alternate payment plans and likely consequences of failure to pay.
  • Responds to correspondence from debtors.
  • Skip-traces debtors through the Department of Motor Vehicles, Internal Revenue Service, credit bureaus and other necessary, appropriate means.
  • Refers and updates records of delinquency to credit bureaus.  
  • Assists on the Billing Hotline.
  • Coordinates the work of student employees.
  • Performs other related duties or functions as assigned. 
  • Serves as back up to other office staff as needed.

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience to successfully operate office equipment.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications:

  • Some college course work.
  • Experience in higher education.
  • Supervisory experience.

Supervision Received:

Receives general instruction from a designated supervisor but is generally expected to work independently.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
