Job Summary
Provide administrative and confidential clerical support for University Health Compliance – Office of the Vice Provost for Health.
Essential Functions
- Provide administrative and confidential clerical support for the University Health Compliance Office including answering telephones, providing customer service for students/faculty/staff, managing calendars and correspondence, maintaining electronic/paper record keeping system and materials, tracking data and coordination and implementation of projects and events.
- Responsible for the electronic health compliance system which includes the following:
- Entering confidential client data.
- Monitoring the system for accuracy.
- Coordinating the process of data, records and other similar information.
- Generating reports.
- Complies data from a variety of information sources and prepares reports for the University Health Compliance Officer as requested/needed by staff.
- Places and releases non-compliance HOLDS on student accounts using the Banner system.
- Obtains list of student and faculty by department and college and provides them for upload into the Blackboard system.
- Enters student and faculty confidential health record materials into Blackboard data base.
- Runs reports for completion rates for health record, annual CPR, and HIPAA and Blood Borne Pathogen on-line training.
- Coordinate departmental new staff orientation (ID card, parking, phone, computer, IT access/codes Banner orientation, etc.).
- Process travel and reimbursement vouchers for University Health Compliance staff.
- Backup supervisor for approval of Ultra Time hours for student workers.
- Provide backup clerical support for the Office of the Vice Provost for Health as needed (vacations, sick days, etc.).
- Create and maintain a filing system for University Health Compliance materials (contracts, documents, etc.).
- Updates the University Health Compliance Office, and Office of the Vice Provost for Health website.
- Responsible for scanning and all data entry of information needed for the compliance program.
- Prepares documents for scanning.
- Monitors functions of the scanners.
- Responsible for quality control of scanned documents.
- Performs other duties as assigned.

Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.
- Demonstrated experience to successfully handle multiple demands effectively.
- Demonstrated experience to successfully organize and prioritize workload.

Preferred Qualifications
- Bachelor’s degree.
- Higher Education Experience.
- Experience in medical office/setting.
Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
