Job Summary

Provides quality customer service in which discretion concerning the university’s policy and procedures is required and supports the functions of the IT Operations team.

Essential Functions

Procurement 

  • Collaborate with GVSU faculty and staff to address technology inquiries and assist with purchases. 
  • Obtain vendor quotes, process requisitions, and manage stock for technology orders, while also proactively maintaining internal technology inventory. 
  • Develop and update training documents and procedures for internal use. 
  • Assess current processes and propose solutions to enhance efficiency. 
  • Manage expenses and requisitions for designated cost centers as the assistant to the cost center manager. 
  • Responsible for processing division-wide order requests, including office supplies requests for the division. 
  • Serve as backup to perform critical tasks for the IT Operations Specialist. 
  • Serve as backup to complete the receiving process for technology orders. 
  • Perform other duties and projects as assigned. 

Events 

  • Manage and execute all aspects of the onboarding process for new IT hires, ensuring seamless integration into the Division. 
  • Assist with coordinating room reservations, catering for events, and scheduling and executing division-sponsored events such as the IT picnic and holiday party. 

Cell Phone Management 

  • Communicate device options to university constituents and procure the appropriate devices through the vendor portal. 
  • Coordinate with relevant staff to distribute and configure devices with required software, security settings, and applications. 
  • Monitor and generate monthly usage reports. 
  • Provide basic technical support to GVSU-provided cell phone users for device-related issues.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills. 
  • Possess strong verbal and written communication skills. 
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects. 
  • Demonstrated experience to successfully handle multiple demands effectively.
  • Demonstrated experience to successfully organize and prioritize workload.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
