Job Summary

As a member of the College of Health Professions Student Services Office, the Office Coordinator works to ensure the work of the office is supported efficiently and effectively. The Office Coordinator is the first point of contact for students, faculty, and community members and provides a welcoming presence. The responsibilities include a wide range of administrative services that enable the smooth running of the Student Services Office as well as work that advances the mission and goals of the College of Health Professions.

They coordinate a variety of duties for a department/office/division in which discretion and/or judgment concerning the procedures to use or policies to follow is required. Primary responsibilities include providing customer service, overseeing front office operations, managing advising processes, and supporting a variety of programs and initiatives within the college.

 

Essential Functions

  • Provides administrative and clerical support for the College of Health Professions Student Services Office.
  • Responsible for the coordination/completion and the quality of the clerical work for the department/office which includes answering telephones, providing information, or routing calls to appropriate person.
  • Provides support as needed to the Advising Program Assistant.
  • Assist Advising Program Assistant with processing of undergraduate secondary admit applications.
  • Provide excellent customer service to students, faculty, and staff.
  • Hire, train, supervise, schedule, and coordinate the work of front desk student employees.
  • Responsible for creating, maintaining and updating files and record keeping systems; paper and/or computerized.
  • Monitors departmental budget, reviews budget reports and reconciles the reports with the department/office’s records.
  • Generates reports, memorandums, correspondence, presentation materials spreadsheets and graphics, and other similar materials using computer systems.
  • Performs and coordinates scheduling tasks and support services associated with preparing and making arrangements for major meetings, conferences, exhibits, travel, or other related duties for both internal and external contacts.
  • Assist with processing materials related to Transfer Student Registration
  • Process student employee Workday and maintain appropriate records monitoring available dollars.
  • Manage/maintain supervisor’s schedule
  • Coordinate all clerical duties associated with staff searches.
  • Conducts special projects, events and assignments as directed.
  • Other related duties as assigned.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience. 
  • Experience with various computer software applications such as Microsoft Office and/or equivalent. 
  • Demonstrated experience to successfully operate office equipment. 
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others. 
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Bachelor’s degree.
  • Higher education experience.
  • Demonstrated experience successfully working with college students.
  • Supervisory experience.
  • Demonstrated commitment to inclusion, diversity, equity, and access, including experience working with people from diverse background and identities.
  • Proficiency in various computer software applications such as Microsoft Office and/or equivalent.

Supervision Received

Receives general instruction from a designated supervisor but is generally expected to work independently.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
