Job Summary

The Office and Events Coordinator brings organization and creativity to the task of planning and implementing business and social events for internal and external audiences. Key duties include brainstorming with leadership to enhance an event’s success, preparing and monitoring budgets, and working with Conference & Events Services and other vendors to deliver high quality events. The person in this position also provides support for office functions, particularly related to communications and marketing, and will be responsible for coordinating a variety of duties for the Seidman College of Business in which discretion and/or judgment concerning the procedures to use or policies to follow is required.

Essential Functions:

  • Coordinate special events and functions.
  • Maintain the various Seidman College of Business websites. 
  • Maintain Seidman’s digital store for branded merchandise and work with college leadership to identify merchandise to add to the site and inventory to support events and gifts for guests
  • Assist with and help monitor social media platforms for the Seidman College of Business as requested.
  • Design various announcements, mailings, and publications for promotion and distribution.
  • Generate reports, presentation materials, spreadsheets and graphics, and other similar materials using computer systems.
  • Perform and coordinate scheduling tasks and support services associated with preparing and planning for major meetings, special projects, conferences, exhibits, travel, or other related duties for both internal and external contacts.
  • Coordinate and maintain departmental resources, i.e. database systems, email lists, library, vouchers, handouts.
  • Disseminate information that may require explanation and interpretation of established university and departmental policies and procedures, direct individuals to sources of additional information, and determine the appropriate method of processing if necessary.
  • Responsible for the coordination/completion and the quality of the clerical work for the department/office which includes answering telephones, providing information, or routing calls to appropriate person; open and route incoming mail and prepare outgoing mail, including bulk mailings; typing memos and other correspondence; maintain office filing system.
  • Responsible for ordering office supplies.
  • Provide back-up support for associate/assistant deans (e.g., calendar support, meeting scheduling, traveling arrangements, etc.).
  • Other related duties as assigned.

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience to successfully operate office equipment.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills. 
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications:

  • Some college coursework.
  • Higher education experience.
  • Skilled with Microsoft Word, PowerPoint, and Excel.
  • Website editing experience on CMS or other website software.
  • Familiarity with graphic design and photo editing software such as Canva, InDesign, Photoshop.
  • Experience with Constant Contact or other mass email software.
  • Experience with WorkDay.

Supervision Received:

Receives general instruction from a designated supervisor but is generally expected to work independently.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
