Job Summary
Support the Procurement team and provide quality customer service in which discretion concerning the university's policy and procedures.
Responsibilities
Essential Functions:
- Process various electronic purchasing documents and determine the appropriate method of processing in a time-sensitive manner.
- Review all documents for completeness, accuracy, approval and compliance with university purchasing policies and procedures.
- Enter requisition data to the Banner purchasing system generating purchase orders. Print, proof, separate and distribute the purchase order copies.
- Process purchase order change orders and requisition deletions as necessary.
- Compile travel footprint data for AASHEE STARS report.
- Organize the Surplus Store property pick-up forms. Act as a liaison between the Surplus Store and departments for property to be disposed of.
- Enter and update photos, product description and pricing for the Surplus Store online store.
- Update the Surplus Store Facebook page.
- Other duties as assigned.
Non-Essential Functions:
- Schedule and coordinate special events and functions.
- Prepare reports for Administration.
- Organize unit files and archives.
- Instruct student employees necessary.
- Expedite/assist with established new vendor direct-bill accounts; distribute credit application and tax exempt information; follow-up on delinquent purchase orders with vendors.
- Assist with identifying and reporting responsible departments for non-complaint purchasing practices.
- Process and circulate vendor profile documents.
Required Qualifications:
- High school graduate or equivalent.
- Minimum of three years of relevant work experience.
- Demonstrated experience to successfully work under pressure and meet deadlines.
- Demonstrated experience to successfully maintain positive intercultural and interpersonal relationships.
- Demonstrated experience to successfully operate office equipment.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
- Possess strong verbal and written communication skills.
- Typing and spelling competency.
- Demonstrated experience to successfully to use various computer software applications.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully perform mathematical calculations with speed and accuracy.
- Excellent grammar and proofreading skills.
Preferred Qualifications:
- Some college course work.
- Higher education experience.
- Supervisory experience.
- Experience with administrating web site and Facebook content.
- Experience with basic accounting principles.
- Experience with web-based and e-commerce applications.
- Experience with Ellucian Higher Education ERP System-Banner Finance Solution.
Supervision Received:
Receives general instruction from a designated supervisor, but is generally expected to work independently.
Supervision Exercised:
Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
