Job Summary
Provide program and clerical support for the Student Employment Office (SEO). Aid on-campus student employees and student employee supervisors. This position functions on campus and in office to best serve our student employees. Remote work is unavailable.
Essential Functions
- Responsible for the day-to-day operations of the Student Employment Office.
- Responsible for understanding and enforcing federal regulations related to the Federal I-9 Form as well as federal, state, and city tax forms.
- Assisting students and employers (both on and off campus) with Handshake functions.
- Responsible for resolution of student and employer problems/questions through phone calls, emails, and walk in traffic.
- Responsible for maintaining and updating files and record keeping systems.
- Responsible for maintaining and approving Handshake job postings and employer accounts (both on and off campus).
- Maintain Student Employment Website which includes assisting with design, maintaining informational web pages, and posting/updating online documents.
- Processing requests for authorization of students to be put on payroll taking into consideration the rules and regulations of the University, SEO and Federal government.
- Working closely with the Payroll Office while utilizing the mainframe application to ensure all student employees are paid properly and on time.
- Processing requests for graduate assistantship, student fellowship and student researcher work stipends.
- Continual monitoring and enforcing of GVSU, federal, and SEO regulations/policies in relation to on-campus and international student employees.
- Generate multiple weekly, bi-weekly, and monthly reports.
- Generate correspondence, memorandums, and presentation materials.
- Supervise and train front desk reception area student staff. This includes assigning tasks, scheduling hours, and overseeing daily functions.
- Responsible for maintaining and overseeing social media accounts.
- Recommend and/or implement changes in office procedures.
- Responsible for providing training for on-campus supervisors.
- Assisting with the implementation, training of and transition to the Workday system.
- Understand basic procedures/regulations of Payroll and Human Resources and enforce those procedures/regulations in relation to student employees.
- Other related duties as assigned.
Non-Essential Functions:
- Maintaining and coordinating the Student Employee of the Month program.
- Coordination of annual Summer Job Fair which involves; soliciting employers for the event through correspondence and personal contact, tracking registration and fees to this event, coordinating with campus Facilities Services and Laker Food Co. and working in conjunction with the Career Center which co-sponsors this event.
- Plan and coordinate activities for Student Employee Appreciation Week for all GVSU campuses. Recruit volunteers to assist in the events. Coordinate events with campus Facilities Services, Laker Food Co., and Public Safety. A major project for this event is soliciting prizes from employers both on and off campus.
Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.
- Demonstrated experience to successfully handle multiple demands effectively.

Preferred Qualifications

Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
