Job Summary

Coordinates the work associated with Government Documents; receiving, processing and maintaining the Federal Depository Collection and the Map Collection.

Responsibilities

Essential Functions:

  • In coordination with the Government Documents Librarian, manages three distinct depository collections, each with its own protocols and regulations.
  • Manages or performs the receiving, processing and cataloging of government publications received through the Federal Depository Library Program (FDLP) in accordance with depository guidelines using the SuDocs classification system, with primary responsibility for print monographs, cartographic materials, electronic resources, and media.
  • Interprets and complies with federal and state policies and regulations pursuant to depository libraries.   These policies dictate cataloging standards, acquisitions rules and discard procedures.  
  • Hires, trains, and supervises student employees and coordinates their work for the Knowledge Access and Resource Management team
  • Assists with cataloging functions on other collections, copy cataloging new material for the library as well as other departments on campus.
  • Updates the University Libraries’ holding information in an international bibliographic database of library ownership information by searching and selecting appropriate catalog records.
  • Manages or performs the receiving, processing, and cataloging of the map collection, which includes depository and non-depository maps.
  • Responsible for withdrawing government documents in accordance with FDLP and Michigan Council of Federal Depository Libraries guidelines.
  • Tracks and details internal procedures as mandated by depository guidelines.
  • Works with other library departments to ensure that documents are processed in accordance with standards set with other units within the library.
  • Works with Acquisitions team to receive and process purchase card orders physically as well as in the integrated library system.

Non-Essential Functions:

  • Manages the federal depository collection through coordination of shelf maintenance, binding, and repair of depository materials.
  • Coordinates retrospective cataloging projects to provide enhanced access to rare and unique government publications.
  • Communicates regularly with the U.S. Government Printing Office and vendors to acquire items not sent to the University Libraries and to resolve any acquisition and processing issues
  • Responsible for learning other functions of the KARMS team, and backing up teammates in case of absence
  • May assist User Experience team by staffing the service point a few hours per week
  • Assist with energy issues by monitoring and reducing the use of lights, power and water as appropriate
  • Inform and explain to students and staff the energy compliance measures including light dimming and under floor air distribution systems

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Ability to function as lead expert in government documents procedures and management of government documents collections.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain positive interpersonal relationships.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.

Preferred Qualifications:

  • Bachelor’s degree
  • Knowledge of and experience with Federal Depository Library guidelines
  • 2 years Cataloging experience
  • Familiarity and experience with an integrated library system (Innovative preferred)
  • Supervisory experience.

Supervision Received:

Receives minimal supervision from a designated supervisor.  Much of the work is self-initiated.  Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility. .

Supervision Exercised:

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
