Description
The purpose of this position is to ensure smooth day to day operations of Jacobs Financial Services while providing a Ritz Carlton guest experience to our clients and prospects. This position will handle incoming calls, outgoing mailings, welcoming clients into the office, preparing delivery documents and any other necessary tasks that will provide a service to our advisors and other support staff. This position requires high attention to detail with database management, appointment preparation, and time management.
Job Responsibilities:
1. Answer the phone in a friendly, warm manner and route accordingly
2. Record notes into our CRM after client and prospect interactions
3. Sort and distribute all incoming mail.
4. Mail out correspondence.
5. Greet incoming clients and prospects with a “Ritz Carlton” experience
6. Have beverages and cookies ready for incoming visits
7. Call client’s day before the appointment and remind them of time and location
9. Assist the event team prior to events i.e., creating folders, packing live event bin, etc.
10. Assist advisor(s) with appointment needs
Qualifications
Preferred Qualifications/Experiences
- Preferred of at least 2 years of front desk/administrative assistant experience
- Working knowledge of Database/CRM software
- Microsoft Word, Excel, Powerpoint
- Attention to detail
- Ability to thrive in a fast-paced environment
- Ability to multitask
