What's Changing with the Hiring Approval Form?


Current State

To hire an individual, the process begins with the Hiring Approval Form. This form gathers information required for the approval to create, post, and hire for a position. This form is used for Tenure Track, Affiliate and Visiting Faculty, administrative professionals and adjunct administrative professionals with benefits (including renewals), and hourly Staff, whether a new position or replacement. It is completed in PageUp or on paper. 

Future State

The information required for the approval to create/edit, post, and hire for a position/job will be entered into Workday. The process will vary based on whether the need is for a position or a job

Positions (regular faculty/staff): 

  • Replacement positions will begin with the ‘Edit Position’ Business Process. This will be the case for about 80-90% of positions. 
  • New positions (FTE) will begin with the ‘Create Position’ Business Process. 
  • After the Edit/Create Position process is complete, a Job Requisition will be created with the ‘Create Job Requisition’ Business Process. 
     

Jobs (adjunct faculty, visiting faculty, adjunct administrative professional, temporary hourly, and student employees): 

  • A Job Requisition will be created (no hiring approval is needed) with the ‘Create Job Requisition’ Business Process. 


Who is Impacted?

These individuals can start the Create Position process: 

  • Administrative Assistant  
  • HR Generalists 
  • Anyone above where the position is created-management chain 
     

These individuals can create a Job Requisition (signaling you’re ready to start posting and advertising) 

  • Administrative Assistant 
  • HR Generalists 
  • Hiring Manager/Search Chair 

Benefits

All approvals needed for hiring will take place directly in Workday. The Hiring Approval Form, including paper forms, will no longer be used. 


Potential Challenges

Hiring Managers and Administrative Assistants will need to understand the difference between positions and jobs in order to know how to start the process of hiring. 


Other Important Information

  • PageUp and the Hiring Approval Form will no longer be used for hiring/recruiting 
  • Pre-determined student employees will not need a job requisition.
