One Time Payment

One-Time payment is a single payment to an employee, on-demand, outside of their regular salary processed in Workday using the Request One-Time Payment business process.

As a manager, you may initiate the One-Time Payment task for your team member only. After you initiate, the business process will route to HR and Payroll for completion.

Keep In Mind

One-Time Payment plans flow through an approval routing based on the employee’s manager within their departmental organization. The Scheduled Payment Date field does NOT mean the date this amount will be paid. Workday looks at the pay period in which the Scheduled Payment Date falls within a pay period and then the payment is paid on the applicable pay date. The actual pay date is populated under the Scheduled Payment Date. If the person receiving the one-time payment has multiple positions, you must select the correct position for which the person is receiving the pay.

 


Information Needed

In order to complete all of the fields in the One-Time Payment business process, you will need:

  • The Employee Name
  • The Effective Date
  • Amount Requested Additional information including what the one time payment was for

Approvals

Approval by multiple roles may be required including budget manager, compensation partner, HR partner, and manager’s manager. Employees will not be able to initiate one time payments on their own behalf.


One Time Payments vs. Period Activity Pay

One Time Payments are used to provide payment to a faculty or staff member beyond their regular wages, like:

  • Speaking at an event on campus
  • Working on a short-term project
  • Temporarily taking on additional duties for a short period of time

Generally, one time payments are for work that has already been completed

Period Activity Pay is used to provide payment to a faculty or staff member beyond their regular wages, like:

  • Internship supervision ($X per internship supervised)
  • Travel for University business ($X per day traveled)
  • Overload ($X per course in addition to standard course load)

Interim or additional duties performed over a period of time.
