At Grand Valley State University, we recognize that inclusion starts with making sure that everyone feels seen and supported as their authentic selves not just in the classroom but other spaces across the university.  An individual can now display pronouns and self-disclose gender identity through Workday. Identification of pronouns will reflect on class lists, Zoom meetings, and will be visible to be appropriately used in residence halls, student organizations, and other supportive services. Any other self-disclosure of sexual orientation and/or gender identity will be used for data collection purposes by the division of Inclusion and Equity and the Milton E. Ford LGBT Resource Center. This data will not be shared in any other areas.

Workday Job Aid for personal profile changes

HOW DO I ADD/CHANGE LEGAL SEX, GENDER IDENTITY, OR PRONOUNS IN WORKDAY?

  1. Log into Workday
  2. On the top right of your Workday screen, select the “Profile” icon and in the dropdown menu click “view profile” button.
  3. On the left side menu, select “Personal” and then click the “Edit” button under the “Personal Information” tab that section.
  4. You can then proceed to add or change your legal sex, gender identity, and pronouns. 
  5. Remember to click the “Submit” button at the bottom of the page once you’ve made all changes, otherwise they will not be saved.

HOW DO I ADD/CHANGE MY NAME IN WORKDAY?

  1. Log into Workday
  2. On the top right of your Workday screen, select the “Profile” icon and in the dropdown menu click “view profile” button.
  3. On the left side menu, select “Personal” and then click the “Names” tab at the top of the screen.
  4. You can then edit your legal name or add a preferred name.
  5. Remember to click the “Submit” button at the bottom of the page once you’ve made all changes, otherwise they will not be saved.

WORKDAY NAME REVIEW PROCESSES:

  • Changes are reviewed by professional staff 
    • All reviews of Workday profile information changes are oriented towards appropriateness not censorship
  • Review is oriented towards data collection to provide culturally and socially relevant interventions and appropriately allocate resources

NEXT STEPS:

  • People Finder will automatically use the updated Workday profile and will be reflected within one to two business days. 
  • Please review the list of systems that require manual updating on the What To Expect page

The University reserves the right to remove or deny a Workday name change request if used inappropriately. This includes, but is not limited to, names using foul or inappropriate language or misrepresentation of self.
