We hosted the first faculty/staff Workday Student Project Update January 2025 in response to feedback that faculty/staff would like to be involved early in the Workday Student project. What is a Workstream?
A workstream is a team consisting of a Sponsor, Lead, and Subject Matter Experts that focuses on a particular component of Workday. They are subgroups of the larger Workday Student Project Team.
There are 6 functional workstreams listed below. Functional workstream efforts are intertwined with technical workstreams for integrations, data, reporting, and security.

Functional Workstreams
The functional workstreams design and configure student-related activities including registering for classes and making payments.
What are some of the expected improvements?
General Improvements:
- Improved searching with Workday global search functionality
- Improved accessibility to data / reports via dashboards
- Improved accuracy due to more frequent data exchange with external systems
- Increased data clarity due to no character limits on data description
Academic Foundation Related Improvements:
- Parts of term from 100+ to ~50
- Semester rename from “spring/summer” to “summer” pending Board approval
- Improved visibility to course building location
- Improved student self-service to demographic data
Other Key Improvements:
- Improved visibility to external transcripts
- New academic planning features
- Decreased need for students to contact Financial Aid due to automatic adjustments
- Decreased confusion due to additional tuition consolidation and payment precedence
- Added clarity with a new “Never Attended” grade option
As more changes are identified, this information will be shared in a table format so faculty / staff / students can easily see which changes affect them.
Faculty/staff opportunities for involvement

Basic – read monthly newsletter, attend special sessions / events

Subject Matter Expert (SME) – attend weekly workstream and testing meetings, provide input into design, test the system throughout. Express interest in being a SME by contacting a Project Lead or completing the Workday Contact Form.
SPRING/SUMMER 2025:

Leader Network – lead and support their teams before/during/after the four go-live transitions, attend kickoff workshops and regular meeting series, collaborate with other GV Leaders and Engagement Partners

Engagement Partner – act as a unit/department liaison, attend regular meeting series, coordinate project messaging and activity with leaders in their area, participate in guided demos

Yes, we can list individual/specific meeting dates on a course section. |
Will the Open class sections also include if they are full but waitlisted? |
Yes, and you will be able to filter on section status (open, closed, waitlisted, etc.) |
Can you search courses by the GenEd requirement they fulfill? |
Yes, you can filter by course tags. GenEd requirements are noted by course tags. |
Does the tuition reduction appear there too? |
Yes, all scholarships, waivers, loans, grants, etc. (including tuition reduction programs) will be showcased in the Total Financial Assistance section. |
When the Additional Tuition line item is consolidated, can students “expand details” to see what those individual charges actually were, or is that context wiped out in the consolidation? |
Yes, the student will be able to see what course the additional tuition applies to. |
Will Workday integrate with EAB Navigate? |
Yes! Navigate will integrate with Workday Student. |
Will we be able to look at department courses, classlists, major/minor lists in Workday? |
Yes, that will all be accessible via reports in Workday. |
